MyChart Frequently Asked Questions
Below you’ll find answers to common questions about the MyChart patient portal.
Sign Up/Activation Code Questions (for New MyChart Users Only)
There are multiple options for how you can sign up for MyChart. Here are the options:
- Sign up online using our third-party verification system through Experian
- Obtain a MyChart activation code by contacting the Virtua Access Center or the Patient Support Team, or as part of registration for an Inpatient or Outpatient visit.
- From an After Visit Summary provided as part of a patient visit at a Virtua facility.
- Request a code by completing the sign-up code request form that can be obtained from the Virtua.org website.
- Note: For patients aged 12-17, the process for signing up is different. Patients in this age group should talk to their doctor at their next appointment about creating a MyChart account.
Once you have your activation code, you can complete the activation process to create your MyChart account.
Your activation code is the unique identifier you will use, along with other personal information, to log into MyChart for the first time. The first time you log in, you will click on the Create an Account link and follow the instructions to enter your activation code.
No, your activation code is not your MyChart username or password. You use the activation code only once to log into MyChart the first time. At that time, you will be asked to create your own unique MyChart username and password.
If your activation code is not working, please contact the Patient Support Team at 856-246-4113 or complete the Request Help form in the Technical Assistance section at Virtua.org/MyChart. We cannot provide a new sign-up code via email or phone. You will need to submit a request for sign-up code in order to have a new code sent to you. Our goal is to protect your information as best as possible and we cannot validate your identity through email or over the phone. We understand this may be an inconvenience, but we hope you can appreciate our efforts to protect you and your health information.
The activation code will expire after 30 days. If your activation code has expired, please request a new activation code by visiting Virtua.org/MyChart and select the sign up online option using our third-party verification system through Experian, or downloading the PHR Sign-up Code Request Form.
Two-Step Verification Questions
Two-Step Verification is a feature added to make your information more secure. The two-step verification process requires you to use your normal login information (entering your MyChart username and password). Upon logging in, a validation code will be sent to the email address or mobile phone number on file at Virtua. When you receive the code, you will enter it when prompted in order to fully log in to MyChart.
If you are having trouble with the new two-step verification, please click to download our tip sheet, which will guide you through the process.
Email, Username and Password Questions
The first time that you log in to MyChart, you will be prompted to create a login username and password. This is the username you will use every time you login into MyChart.
- Once selected, your MyChart username cannot be changed. Choose a username and password that is unique to you and easy for you to remember.
- Avoid using a username or password that is easy for others to guess such as your first or last name.
- Your username must be between six and 18 characters long. Only letters or numbers are allowed and it cannot contain any spaces.
- Your password must be a minimum of eight characters long and must include at least one number and one letter.
Within your MyChart account, go to the Menu option and select Personal Information. From there, you can change your demographic information by clicking on the Edit button within that section. When finished, click Save Changes.
Within your MyChart account, go to the Menu option and select Personal Information form the drop down. Click on the Edit button in the Contact Information section and update your email address. When finished, click Save Changes.
If you have forgotten your password, click on the Forgot Password link on the login page. Enter your MyChart username and required information and click next. Once you receive your security verification code, enter the code and then you will be allowed to reset your password.
If you have forgotten your username, click on the Forgot Username link on the login page. Enter the required information to have your MyChart username sent to your email account.
Yes, your password can be changed online at any time by going to the Menu option and select Security Settings. Please keep your password confidential and do not share it with anyone. If you believe that someone has found out your password, please change it.
Some suggestions to keeping your password secure are: change your password regularly, don't write your password down or give it to anyone, don't use a solitary word in the dictionary, and don’t use your name.
If you have found a third-party healthcare application (such as 1upHealth, MyFHR, MyLinks, etc) with which you would like to connect/link to your MyChart account so that you can capture or share some of your personal health information, you will need to sign-up for that app and then go through their process to connect your health data. Connecting to your health data typically involves searching for Virtua Health, then being redirected to the MyChart login-in screen for authentication. Once you have logged into your MyChart account through that application, you will need to allow it access to your health data in MyChart. If you have any issues with the connection setup, contact that app vendor.
When using MyChart, you may sometimes be linked to third party websites. Virtua is not responsible for the information or materials contained on any third party web sites, or on web sites that provide links to MyChart. Links from MyChart are provided for convenience only and are not intended as an endorsement by Virtua of the organization or individual operating the third party website or application, or a warranty of any type regarding either the third party website or application, or the information on the third party web site or application. Your MyChart account permits you to have third party applications integrate with your MyChart health information. MyChart contains tools to help you manage your permissions and authentication for any third party application to access and import your health information. These permissions are managed by you, and not by Virtua. You may revoke your permission for a third party application to access your health information in MyChart at any time by changing the permission settings, although this will not affect any health information released prior to the time of revocation. By utilizing a third party application, you and your health information will be subject to the Terms and Conditions and Privacy Practices of the third party application. When you give permission for a third party application to integrate with MyChart and access and/or import your health information contained in MyChart, you are authorizing Virtua to release your health information to that application. The health information that the application has access to will be determined by the third party application and/or you, but may include information of a more sensitive nature, including psychological or psychiatric impairment; drug abuse and/or alcoholism; tuberculosis; genetic testing; genetic information; genetic familial history; sexually transmitted diseases; AIDS and/or tests for infection with HIV. Once your health information is released from MyChart, it may no longer be protected by federal or state health care privacy laws, and may be subject to re-disclosure by the third party application.
Patient Medical Records, Appointment Scheduling, Test Results and Prescriptions Questions
Yes, simply click the Schedule an Appointment link, choose your reason for scheduling an appointment from the options listed, and then follow the prompts to schedule the appointment.
If you are unable to complete the scheduling process through MyChart, call the physician office directly or use our Live Chat feature to connect with a Navigator at the Virtua Access Center.
Prescription refill requests can take up to 72 hours to be processed and any written prescriptions must be picked up at your provider’s office.
Please contact your provider’s office directly if you are in need of an immediate refill.
The results of most tests are viewable in your MyChart account upon receipt from the physician, lab, etc. Contact your physician’s office directly if you have questions about any of your test results.
Your MyChart information comes directly from your electronic medical record at your provider's office. Ask your provider to correct any inaccurate information at your next visit. Your health information is reviewed and updated in your electronic medical record each visit.
Virtua has opted to proactively make a lot of your key medical information automatically available to you in MyChart, without you having to request it. As of February 23, 2021, Virtua expanded the amount of your medical information automatically available in MyChart, including most of your new provider notes. There may be circumstances under which a provider does not share a specific note to MyChart or delays the delivery of a specific test result, such as when you request not to receive a test result until your provider has had an opportunity to review it with you first. The information available includes:
- Inpatient provider notes (written during Virtua hospital visits)
- Outpatient provider notes (from visits to your Virtua primary care or specialist office)
- Virtua emergency department visit notes Laboratory results (blood tests, for example)
- Laboratory results (blood tests, for example)
- Pathology results (such as biopsies)
- Radiology results
A hospitalization or other medical treatment can result in a tremendous amount of documentation. To optimize your MyChart user experience, Virtua has made automatically available your medical information that we believe you are most likely to want. Creating or logging into a MyChart account is not a request from you to Virtua for your medical records. Under HIPAA and the 21st Century Cures Act, you are entitled to request full copies of your medical records. See the FAQ titled: “How can I request copies of my medical records not automatically available in MyChart” for instructions.
If you would like to obtain copies of any notes or records not automatically available in MyChart, you can request them by simply contacting your Virtua Medical Group provider’s office, Virtua’s Health Information Management Department (for hospital records), or through MyChart by doing the following:
- Click on Your Menu, then scroll down and select Request Other Records.
- Complete the form and click on Submit Request.
Communicating With My Care Team Through MyChart
While MyChart is not an email system, you are able to send secure messages directly to your provider. Images may be attached to messages. Learn more here.
Yes, you can use the Ask a Question feature to ask a non-urgent medical question or to request a medication refill. You may even attach images to your message. Note: a response may not be immediate. Please allow up to two business days for a response.
If your message is of an urgent matter, please call your provider’s office directly.
Proxy Access Questions
A proxy is a spouse, partner, adult child, or other trusted person that you want to share your record with. Virtua does not utilize MyChart to release records to third parties. Proxy access means that a person with a Virtua MyChart account has full or partial access to another person’s MyChart account. With full access, proxies can view test results and other clinical information, schedule appointments, send messages, and complete other tasks on behalf of the patient for whom they are serving as a proxy.
There are three types of proxy access:
- Full proxy access to a child: This type of access can be granted to one or more parents or guardians of children under age 12. It provides the proxy with full access to the child’s clinical information and other features in MyChart. Please see more information under the "Proxy Access for Children" FAQ section below on this page.
- Partial proxy access to an adolescent: This type of access can be granted to one or more parents or guardians of children aged 12-17. This access is very limited.
- Full proxy access to an adult: This type of access can be granted to one or more adult proxies at the request of the patient for whom proxy access is being granted. It can be revoked by that patient at any time.
Important notes:
- For a parent or guardian who has proxy access to a child age 11, when the child reaches age 12, the proxy access will automatically transition to the partial proxy access for an adolescent.
- For a parent or guardian who has proxy access to an adolescent, when the adolescent reaches age 18, proxy access will be automatically revoked.
To add a proxy to your account:
- Select the Menu option and then select Adult Proxy Access Request Form.
- Fill out the proxy request form with the proxy’s first name, last name, gender, date of birth, address, email address, and phone
- Click Submit Request
Once the form has been processed, the MyChart activation code and sign-up instructions will be sent to the proxy. With certain restrictions, proxy access may be granted to the parents or legal guardians of patients under the age of 18 (minors).
A proxy can see, download, and transmit medical information. A proxy can view and send messages, request appointments, or request medication refills. A proxy can see and edit certain profile information. A proxy cannot: add or delete another proxy, change a patient’s email account, username, or password.
To see who has access to your records, or to see the status of someone you have added as a proxy:
- Select the Menu option and select Sharing Hub. Then select Manage friend and family access.
- The section titled Who Can See My Record will show the list of people you have added as a proxy
To remove a proxy:
- Select the Menu option and select Sharing Hub. Then select Manage friend and family access.
- Click the Revoke Access button next to the name of the person you want to remove from your proxy list
No, due to the sensitive nature of medical information, each adult must establish their own MyChart account.
For an adult, the process for proxy access is different than that of a child. If you would like to grant another adult access to your MyChart account, you must fill out the Adult Proxy Access Request and Authorization Form, which is available from the drop down menu under “Sharing” in your MyChart account. The form authorizes another adult to receive access to your Virtua Health (Virtua) MyChart medical record. Your proxy can be a spouse, partner, adult child, or any other trusted adult designated by you.
Or, you may download this Adult Proxy Access Form. Versión en Español.
